The Wellbeing Services are geared towards improving the mental health and wellbeing of CMHA’s service users and providing preventative services to those that are vulnerable or at risk of developing mental health issues. You will be leading a small team of staff and volunteers to ensure the smooth running of the Wellbeing Services. You will enable our service users to develop positive psychological and physical wellbeing, independence and quality of life through access to the range of wellbeing services provided by CMHA. Individuals may concurrently access different services including but not limited to the Befriending Service, the Wellbeing and Social Clubs, as well as CMHA’s talking therapies, and together they form the Wellbeing Services at CMHA.
The postholder will be responsible for providing management and support to the team, working with service coordinators, other support staff, and is responsible for the recruitment, training and retention of volunteers.
The postholder will be responsible for keeping case records up-to-date in accordance with the project requirements; and to monitor and evaluate service outcomes such as referrals, access rates and outcomes, as well as collection of case studies.
The postholder is responsible for service development, and therefore s/he is required to provide talks, presentations to organisations and community groups, develop partnerships with a range of established agencies (both statutory and voluntary), building upon existing relationships in place across London.
- Be responsible for all aspects of operational management within the Wellbeing Services to ensure effective and efficient delivery of the projects
- Handling enquiries and managing referrals, overseeing the liaison with clients to arrange gatherings and meetings
- Supervising the filing and management of sensitive client data in conjunction with the Coordinators
- Overseeing the production of marketing and promotional material for services and events / activities and attracting clients to the services, promoting and raising awareness of our services
- Dealing with external agencies in a professional and timely manner
- The ability to stand in for other members of staff who are unavailable due to sickness or otherwise and ensure the activity / event continues without disruption
- Oversee the smooth and efficient running of the Talking Therapies (i.e. IAPT and Counselling services), becoming the point person and main contact for all relating operational matters
- Coordinate and deliver the Community Transport service utilising the team of volunteers to deliver interesting trips and outings to the community, and encourage social participation and networking
- Coordinate the team to deliver the programme of regular psycho education workshops, liaising with partner organisations and creating flyers, arranged at the Meritage Centre and at other venues
- Coordinate the team’s participation in community events such as the Altogether Burnt Oak Parade, and World Mental Health Day events
- Liaise and handle queries from both within the MWS partnership, and with the lead provider, bringing matters to the attention of the CEO and supervisor / line manager
- Provide leadership, management and support to the coordinators, administrative staff and volunteers at CMHA and at MWS for all aspects of the Wellbeing Services
- Work to ensure all quality standards are implemented and maintained within the team
- Identify resources required for the team and ensure your line manager is aware of these
- Ensure all referrals and inquiries about our services are dealt with efficiently and professionally within the team subject to the standards set by the service policy
- Ensure all notes and logs on the database systems are entered appropriately by the team in an accurate and timely manner
- Oversee the arrangement of clinical supervision for therapists, liaise with treatment supervisors as necessary and act on feedback and concerns as appropriate
- Working with your line managers to interview, induct, train and coach staff and volunteers
- Ensure a professional service is provided by the team (staff and volunteers) that maintains boundaries, but is warm and respectful
- Ensure that an individual’s confidentiality, equal rights and diversity are respected
- Ensure that all individuals, staff and volunteers are appropriately safeguarded, and that risk assessments are conducted where necessary
- Provide the confident ability to deal with situations that may arise, including the provision of support to the team in dealing with situations of risk and crisis
- To adhere to all policies including staff, equal opportunity policy and volunteer policy at all times
- Report for a monthly supervision and annual appraisal in line with CMHA Procedures
- Carry out such other duties as deemed appropriate and may be reasonably required by supervisor / line Manager or Chief Executive of CMHA
- Ensure that the team logs all individuals accessing the service onto the central database in an accurate and timely fashion
- Information logged should include individuals' demographic information, presenting needs and any other case notes deemed to be appropriate
- Ensure that all paper or computerised records and documentation regarding the service is effectively and securely stored
- Oversee and verify freelance contractor’s invoices against sessions delivered
- To proactively contribute as a team member for general office and other administrative duties
- Attend regular staff and case management meetings and report to your supervisors and line manager on the progress of the service and your role
- Submit regular reports to the supervisor / line Manager, CMHA Chief Executive, and management committee with verbal and written report on progress across all services, ensuring respective monthly delivery targets and Key Performance Indicators are met
- Ensure evaluation surveys and equality forms are conducted to the standard required, analysed and presented in the appropriate manner
- Ensure the timely completion and submission of all monthly, Interim and End of Year reports for all the respective Wellbeing Services
- Seek out new opportunities and suitable activities to add to the Wellbeing Service offer
- Seek out guest speakers and contributors to complement the Wellbeing and Social Club programmes and other events / activities
- Seek out and forge partnerships with other organisations, companies and institutions to expand the psychoeducation workshop delivery
- Work with the Hub Manager to develop links with statutory partners such as Link Workers, GP Surgery staff, Barnet Council Adult Social Care, Barnet Police Service, London CRC Probation and others to ensure that referral mechanisms are understood and meets the needs of these partners as well as individuals
- Work as a positive member of the team, driving continuous improvement through flexible and creative responses and supporting the growth / evolution and development of the service to meet the developing vision of the organisation
