Job Summary
Reporting to the Director, Centre for International Management (CIM), the Associate Director, International Programs & Projects is responsible for leading projects that have a tangible impact for CIM and its strategic direction. The role will assume the primary management and leadership role for international exchange and double degree programs associated with the Queen’s graduate programs. The incumbent will manage and oversee all operational aspects including; admissions, the formulation and implementation of program policies and the development of systems and procedures for effective running of the international programs in collaboration with colleagues at Smith, Queen’s and the partner institutions.
The Associate Director is responsible for managing the admissions process, general student counselling, assists in program planning, project and policy development that support the focus and strategy of Smith’s international initiatives. The incumbent is required to demonstrate effective judgement and efficiency with an exceptional level of collaboration and communication, while managing the complexities of multiple internal and external stakeholders.
The nature of this position will occasionally require overnight travel, evening and weekend work.
RESPONSIBILITIES
• Responsible for overseeing the advising and operational management of complex, high functioning administrative team. Provides guidance and guidelines on the day to day advising and may need to deal with extenuating circumstances and emergency related issues.
• Works closely with the Director of CIM, Smith program offices, Queen’s colleagues and external stakeholders to develop and implement new initiatives. This includes providing advice and direction for strategic project planning, policy development and communications to respond to the changes in the University and external environment. Evaluate and interpret policy and procedures and suggest modification to increase efficiency and effectiveness.
• The incumbent may be required to meet with international partners and travel to represent the Centre and Smith School of Business at conferences within Canada and internationally.
• Responsible for assessing and approving international curriculum and transfer credits for outgoing exchange and double degree students who participated in an official exchange oversees or degree program, while ensuring consistent advising and operational management of the international programs.
• The incumbent will also be required to create initiatives that will help to promote and market the Smith’s international programs, including; presentations, webinars, print material and web sites, etc.
• In cooperation with the Director, the Associate Director will assist with and oversee the management, implementation, coordination and facilitation of current and emerging Smith international programs and initiatives.
• Manages research, data collection and information to provide support and direction to the Undergraduate Curriculum Committee and the CIB Curriculum Committee.
• Ensures effective communication and information sharing between the Commerce Office and key stakeholders.
• Develops positive relationships and partnerships with students, student leaders, staff, faculty, and community members generally, and particularly stakeholders interested in issues of student life, student experience, student leadership and community engagement.
• Collaborates with and provides advice, mentorship and support to student leaders.
• Coordinates and manages special projects as assigned.
• Plans, prioritizes and manages the work of employees, providing strategic and tactical advice, guidance and coaching. Identifies the need for staff resources, participates on staffing committees, and makes effective recommendations regarding employee selection.
• Manages performance by establishing performance standards, reviewing and evaluating performance and conducting formal performance reviews on an ongoing basis.
• Assesses staff training and development needs, and ensures that employees receive training required to improve and sustain successful performance.
• Investigates, addresses and resolves employee/labour relations issues, including making decisions regarding disciplinary and discharge matters.
• Undertakes other duties as assigned.
• Responsible for the guidance, assessment, approval and compliance of Off-Campus Activity Safety-Policy (OCASP) planning records for Smith students, staff and faculty in conjunction with Queen’s University International Centre.
DECISION MAKING
• Human resource management decisions - make decisions regarding work allocation among staff to ensure the smooth delivery of the program.
• Determine appropriate communication (written or oral) with faculty, staff, applicants, students and alumni to provide information, advice or clarification.
• Determine appropriate budget and methods to execute strategies and events.
• Determine appropriate action to handle emergencies in accordance with departmental and university procedures.
• With the Director of CIM, determines how best to implement new initiatives and improve upon existing programs.
• Provides advice, support and guidance on a wide variety of complex matters related to the Centre and its portfolio.
• With the Director of CIM and the Finance and Administration Office, determine appropriate expenses for the programs.
• Responsibility for creating and managing within a budget.
• Determine appropriate policies and procedures that fit within the mandate of the international portfolio.
• Evaluates job candidates and makes effective recommendations on suitable hires.
• Makes decisions and/or effective recommendations regarding transfers and promotions.
• Evaluates employee performance and decides on appropriate training or coaching to address lack of proficiency in carrying out responsibilities, or remedial action for staff disciplinary situations.
• Assesses investigation outcome of grievances and makes effective recommendations on appropriate course of action or next steps on grievances.
• Makes effective recommendations on level of discipline up to discharge and probationary termination
